Alpha-numeric invoice vendor numbers
Letters can now be used in vendor invoice numbers. The old column showing the invoice number without the letters, still exists (in order to maintain compatibility to old invoices). That is to say that this alpha numeric invoice field is an entirely new field.
Fixed Asset module released
The Fixed Asset module has now been released and can be configured under ”Company/Configure Application Functionality”. Read more about this in Unipedia DK (use a translation tool as the article has not yet been translated).
Bank reconciliation includes general journal lines
When working in the bank reconciliation module, the general journal lines are now also shown with the posted transactions. If the ’Journal Number’ is 0 this indicates that these are unposted bank transactions in a journal. So users can now reconcile against these journal entries before they are actually posted.
Planning module in Project (Time)
We have introduced a new planning module in Projekt (Time). This allows users to plan accross projects, types, pay types and employees.
The module allows users to get an overview of the realised numbers vs. budget, normal times and deviations thereof. This is all built up around a pivot-table.
If users want to edit the budget or move from one employee to another they can do so by simply moving, adding or editing the transaction. The budget will then be updated with the change and the result thereby shown visually.
Last years realised numbers can simply be copied over to a new budget so that users can the budget / planning can begin.
If the hourly rate of an employee is edited during the planning phase, then the budget can easlily be updated with the new rates.
Personalised folders in Physical Vouchers (Inbox)
The new version now includes a small folder icon in the Physical Vouchers (Inbox). ‘Folder’ column header. Users can use this icon to create their own personalised folders. The extra folders from the previous versions have now been removed.
SMTP set up module
In previous versions, users needed to set up their SMTP under each and every E-mail set up line in Customer/Maintenance/E-mail set up, if they wanted to use their own server to send E-mails. We have now created a new and more general module under Company/Maintenance where the company can set up their SMTP for sending ALL E-mails via the company’s own server. So the login, password and other information only needs to be maintained in one place. We have also added an API ”Uniconta.API.System.EmailAPI”, which can be used to send E-mails with attachments via the Uniconta server.
Approval e-mails sent from your own server
In the last version we introduced new functionality to allow users to receive an E-mail from Uniconta when there was a voucher that they needed to approve. This mail was sent from Uniconta’s own SMTP set up. The new module for SMTP set up allows users to select which E-mail set up they would like to use to send these approval E-mails. This gives the company more assurance that these E-mails won’t end up in a spam folder. In general, companies like to use their own E-mail server to send mails.
Use Outlook to send E-mails.
Users can now select to send E-mails from their local Outlook anywhere in Uniconta where there is also the option to get the server to send these E-mails.Uniconta will thereby open a new E-mail in Outlook, with the attached PDF file, the recipient automatically filled out as well as the subject and body of the E-mail, as determined by the E-mail set up.
Weight, volume and packages on an order
Order cards are now updated with a calculation of these three ’sizes’. This must be selected on the company preferences under ”use sizes”. If this setting is not selected then these fields will not be shown.
Improvements to the inventory counting list
It is now possible to export a counting list to a csv-file format and open it in Excel. So an employee can perform a stock count and record the amount on-hand in Excel. Then the file can then be saved and reimported to Uniconta, where the difference can then be transferred to a journal and posted. It doesn’t matter if some items have been sold in the mean-time, since Uinconta still just posts the difference from the excel file.
Inventory items can now also be looked up by EAN number in the counting list. All combinations of variants are also shown (not just those that are on-hand as in previous Uniconta versions).
Approve sales and purchases
Users can now edit the company’s preferences to require that sales and purchase orders are approved before they are invoiced. Once they have been approved, they will be marked with a clock time as well as the employee who approved the order.
Icon in the top bar to drag and drop physical vouchers
We have added an icon in the top bar for saving physical vouchers. Users can just drag a file or an e-mail to this icon, drop it and the voucher can then be saved.
Handy access to data
When working in the ’Edit all’ view of, for example the customer list, users can right click above a field header and select ’New field value’.
Once this has been selected, users have direct access to a data manipulation for the fields on the listed lines. This function can be used everywhere in Uniconta where there is an edit all mode. For example, if a journal has the wrong date, then the date can be changed on all lines in just a few clicks.
Show the transactions on an amount in a Financial Statement
When a Financial Statement is generated, users can double click on the amount shown on a ’transaction’ and Uniconta will open a transaction summary showing the transactions behind the amount.
Work in Progress on projects
Users now need to determine by project group, whether they want to have work in progress posted automatically or not. If they determine that they do not want this then they can use our new menu item ‘Project post WIP’ to both ‘Add’ or ‘Remove’ Work in progress.
Users can also now double click on WIP to open the list of transactions for the project as well as synchronize the screens.
Double clicking will now open the relevant time journal and these screens can be synchronized.
Move/Copy in the Physical Vouchers (Inbox)
Users can now move or copy a physical voucher to both a general ledger account and to a project.
Use e-mail to send documents to customers
We have now added a check box in the customer card where users can determine whether documents should be emailed to customers. In previous versions the ‘Email for Invoice’ field needed to be filled out. However, now there just needs to be a check mark in this ‘Email documents’ box.
Delete a dimension
Two dimensions can be joined and version 84 now also allows users to join a dimension to an ’empty’ second dimension. This means that the dimension is effectively deleted. If a dimension has been used but is no longer required, then all results of this dimension can be merged into an ‘empty’ dimension. Then the dimension can be removed.
We have added a new ’Edit’ function in the invoice list. Users can now edit all ’non sensitive’ fields in an invoice.
Quantity in finance
If ’quantity’ is used in the general ledger transactions then new opening balances are created for ’quantity’.
EU-sale without VAT
The VAT report for EU sales (previously known as the EU list system) has been improved so it now only includes invoice lines with VAT operations S3 and S4 (Denmark) which are sales for EU customers sold to without VAT.
Nets Payment service
The PBS customer group can now be selected in Uniconta (Default = ‘00001’). The paymentID on the payment card sent by Nets can now be defined in Uniconta. This is used when the FI-notification is from the bank and not from Nets.
We have added the following two sections to the OIOUBL invoice document:
- BuyerCustomerParty: Purchaser, which is the same as the delivery account in Uniconta.
- SellerSupplierParty: Seller and invoice sender, which will always be the same information that is in the AccountingSupplierParty, that is, the company information from the relevant company.
GLN-number will be inserted as the EndPointID AccountingSupplierParty section and SellerSupplierParty), if entered under company information.
Key Company Figures
Dashboard now includes a new standard report: “Uniconta std. Company key figures”. This shows the company’s key figures provided that the correct account types have been selected in the chart of accounts. See our standard company chart of accounts to see which account types will need to be selected for each account.
