Company Information Use the navigation panel to go to: Company/Company information. This is where the company’s master data is stored. (Click on screenshot to enlarge).
Toolbar/ribbon menuSave company Cancel Company images Logos can be added here for use in tools and on invoices (e.g. company logo) Attachments Activate/Deactivate Delete all transactions This deletes all records. Delete company (delete accounts) NOTE: The company cannot be retrieved once deleted. Backup This performs a complete backup/copy of the company’s data within Uniconta. N.B. The owner of the company needs to give the Univisor (a Uniconta approved accountant) access to the new copy of the accounts. That is to say that if a Univisor performs a backup of a set of accounts that the Univisor does not own, then the Univisor’s access is not transferred to the back up copy. Detail formDescription Accountant The two functions below can only be performed by the user who is set as “Owner” Accountant: The selected accountant’s employees will ALL be able to view the company data. Click on the arrow to view the form shown in the screenshot below. The accountant can be chosen in the top dropdown menu. “User permissions” then need to be assigned – it is important to allocate “Full” permission to the selected accountant for the modules that the accountant needs access to! Typically the accountant will be given access to all modules.
Click “Assign” to save and close. “Reseller access”: If this check mark is removed then external users cannot view the company’s data (including the reseller). Address Settings Read more here. “Allow negative debit/credit”: If this box is checked then a negative debit/credit can be entered in the accounts. For example, a negative debit is frequently used in Germany. “Use ‘Quantity’ in ledger transactions”: If this box is checked then a quantity can be entered in the journal lines. This will be saved with the ledger postings. “Automatic settlement”: Here the user can select whether Uniconta should automatically try to settle accounting entries in Customer/Vendor. There are 3 options to choose from: Matching = Settle using matching i.e. finds an exact match by amount, invoice number or other matching item. “Recalculate cost prices per warehouse/location”: If this box is checked then the cost price is recalculated for each warehouse/location. So if an item is placed in a particular warehouse location, then when it is sold from that same location, it is allocated the same cost price. “Block send e-mail”: If this box is checked then emails CANNOT be sent from the company accounts. This is useful when setting up a test set of accounts. If the “Block send e-mail” box is still checked (e.g. after a test) and the user tries, for example, to send an invoice to a customer, then the system will state the following error: Operator blocked, as shown in the screenshot below (click on screenshot to enlarge).
