EU sales list

General

EU sales list under General Ledger/Reports/VAT reporting/EU sales list is used to report EU sales to country specific authorities (for example, ‘SKAT’ in Denmark).

The information for the report is automatically obtained from the customer invoice records and can be edited if necessary before reporting.

Set up

Before creating the report, make sure the necessary information is in place.

That is, customers operating within the EU need to have a VAT number (for example, in Denmark this is called a CVR number) and a country code.

EU sales list in Uniconta

Select the ‘From date’ and the ‘To date’ to get a list of transactions.

Click on ‘Search’.

Description of column headings in ‘EU sales list’

Date
This column shows the invoice date.

Country
The country is listed for each transaction, showing which EU country is being traded with.

Account
Account number of the customer that has received the invoice.

Account name
Customer name.

VAT number
VAT number of the company that is being traded with.

Invoice number
Number given on the invoice sent to the customer.

Item value/Service value
Transactional value in the default currency, using the current exchange rate. The transactional value is based on the net amount of the order line item.

There are three types of value fields: ‘Item value’, ‘Service value’ and ‘Triangular trade’. Triangular trade is only shown once it is set up.

Triangular trade
Check the box if the transaction is part of a triangular trade. Depending on the type of transaction, the service value, for example, may be removed here.

SystemInfo
This column is automatically filled out by Uniconta based on, for example, validation or compression information (see description of ‘Validate’ and ‘Create file’ buttons below).

Add
Additional line items can be added manually if they are required to be reported to the tax authorities.

Delete
Transactions that the user does not wish to report to the tax authorities can be deleted using this button.

Create file
Creates an EU sales list file.

All transactions that include trade with the same VAT numbers will be automatically compressed to one transaction when the file is created.

The resulting compression will be shown on the screen once the file has been created.

In Denmark, for example, the transactions will be exported to a CSV file (comma separated variable file) that can then be uploaded to the local Danish ‘SKAT’ tax authority or ‘IDEP.web’.

Validate
The ‘Validate’ button reviews the transactions for errors or omissions that render them unacceptable to the country’s tax authorities. Any errors or omissions will be shown in the SystemInfo column as illustrated in the screenshot below. (Click on screenshots to enlarge).
