All Uniconta data and reports can be e-mailed in various file formats.
All reports and forms can be edited before they are emailed. It is possible to:
- Move fields around
- Add and remove fields
- Choose field width
- Sort
- Search and filter etc.
It is easy to edit the content and design of data before exporting the file. It is not necessary to format special reports in order to send data by e-mail.
However, existing reports that already have a layout design (such as invoices, quotes etc.) cannot be edited before printing or emailing. This would require editing the invoice/quote standard layout within the report generator.
Documents and list forms, can be emailed the various file formats available. To send a quote, for example, go to Customer/Sales/Quotation and click on the “Send” (envelope) icon on the top right of the toolbar.
Click on the arrow on the right side of the “Send” icon to view the file format options.
If the “Send” icon is clicked without choosing a file format from the dropdown menu, then the last format selected will be used. For example, if the last format used was a PDF file, then Uniconta will default to send file in PDF format.
Select the desired file format. Complete the “Send via E-Mail” form that will appear with the export format and file path.
Click “OK” and a new email will appear in user’s standard email program with the file attached.
Example
To send a quote, go to Customer/Sales/Quotation.
Highlight the quote that you would like to email and click on the “Quotation” button in the toolbar/ribbon, as shown in the screenshot below.
Complete the “Quotation” form that appears with the date and check the “Print Preview” box in this form. Click “Generate” as shown in the screenshot below.
A print preview of the quotation will now appear. Click on the “Send” icon as shown below.
Click on the arrow to the right of the envelope icon to view a file format other than the last format used.
For example, when choosing to email a PDF file, complete any extra information in the detail form that appears on the screen and click “OK”.
An email will appear in the user’s standard email program with the PDF file attached.
Fill in the recipient’s email address and any additional text in the body of the email.
